2.17 Crisis and Emergency Management Policy

Purpose
The purpose of this policy is to ensure that Fencing-Escrime New Brunswick (FENB) is prepared to respond effectively and safely to emergencies, crises, or critical incidents that could impact the health, safety, or reputation of participants, staff, or the organization.

This policy provides a governance framework for crisis management and directs members to follow the detailed procedures set out in the FENB Crisis Management Protocol.

Scope
This policy applies to all FENB representatives — including Board members, employees, coaches, officials, volunteers, and athletes — during any FENB activity, event, or operation where an emergency or crisis situation may occur.

It complements the Risk Management Policy (Section 2.2), the Safe Sport and Athlete Welfare Policy (Section 2.13), and the Insurance and Legal Compliance Policy (Section 2.12).

Policy

Crisis Preparedness
FENB will maintain an up-to-date crisis management protocol outlining procedures for emergency response, communication, and recovery.

The Executive Director is responsible for ensuring that all staff, coaches, and event organizers are familiar with the FENB Crisis Management Protocol and understand their roles during emergencies.

Reporting and Communication
In any emergency situation, the safety of participants is the first priority. Incidents must be reported immediately to the Executive Director or designate.

The Executive Director, in coordination with the Board, will oversee external communications to ensure information is accurate, timely, and consistent with the Communications and Social Media Policy (Section 2.1).

Media inquiries and public statements during crises will be managed centrally by authorized representatives only.

Post-Crisis Review and Recovery
Following a crisis or emergency, FENB will conduct a debriefing and assessment to identify lessons learned and areas for improvement.

The review process will include consultation with those involved and align with the organization’s overall risk management framework.

Corrective actions will be documented and incorporated into updated versions of the FENB Crisis Management Protocol.

Review
This policy will be reviewed every two years or following a significant crisis or change to the FENB Crisis Management Protocol.
